All artwork supplied will be kept for three years and available upon your request once purchased or utilized (Artwork Requirements)
An art charge of $50. per hour is billed as standard. Charges only apply to services needed OR due to not having proper art files or needing drastic or time consuming changes. Names and dates may require new setup charges on repeats but will normally not require any art charges. See Artwork Requirements, or Contact Us for quotes based on exacts for a better quote.
California Proposition 65The state of California requires warning labels on all products that are shipped into California. Long Island Promotional and it’s Vendors will apply a California Proposition 65 Warning Label at no additional charge. It is the customer’s responsibility to contact us if all or any part of an order may be sold or distributed in the State of California.
California Proposition 65 Warning LabelThe California Proposition 65 Warning Label reads: “This product may contain chemicals known to the State of California to cause cancer, birth defects or other reproductive harm".
Customer is responsible for all of the material and all of the labor costs incurred prior to cancellation once an order is agreed upon and this is to be billed accordingly. All cancellations must be in writing submitted before the close of business day by email time stamp or costs are incurred until the next business day.

Changes to Orders
Changes to orders MUST be in writing for documentation purposes. Please clearly state your order number and use CHANGE in CAPS in the subject of the email.
Any errors, damages or discrepancy in count or quality of merchandise must be reported immediately within 24-48 hours of receipt of order or claim will not be honored. (Please check and confirm orders and packing lists carefully, take pics if needed) Please clearly state your order number and use CLAIM in CAPS in the subject of the email.
A $5 charge by destination will be added to any and all individual portions of a single ship, split ship or drop ship orders requiring consignee billing.
An additional set-up charge will be assessed for each change of copy per location being effected, plus the cost of any and all additional dies or screens due to the change. Details of these costs will always be outlined and approved before proceeding.
Credit Card Acceptance
We gladly welcome Mastercard, Visa, Discover or American Express for payment. Contact Us with any questions or concerns with your card provider.
Drop Ships, Split Ships, Individual Location Shipments
A $10 charge will be added for each additional address after the first address, plus all applicable freight, packaging and handling. Contact Us for any project that requires additional quoting for SPLIT and DROP shipping. Many items and vendors we use offer these sometimes for free or reduced rates throughout the year.
We are not responsible for any errors resulting from any order information, art, details, copy or address list that was received incorrectly OR approved incorrectly. Check all artwork proofs on all orders. Verify ALL names, dates, spellings, art features… ALL aspects and never skip this especially on REPEATS. If you realize something was either submitted or approved incorrectly, Contact Us immediately so we can do everything in our power to correct it. Note at this point, charges MAY apply.
In our efforts to keep our costs to our customers as low as possible, bill exact freight charges free of markup and to cover labor and material. All orders shipped will incur a handling charge of $10 per order. Orders billed to customer freight accounts like UPS, FEDEX will also incur this charge. See USPS Section below.
All international orders will be supplied with proper documentation at no additional charge. Please provide a valid UPS or FedEx shipper number and billing address for that shipper number. Additional information may be required based on item and destination. Contact Us for details if you plan on sending International. We have local vendors in Mexico and Canada we can possibly utilize to accommodate your needs here.
Less Than Minimum
Additional Charges for any items being ordered LTM. LTM, Less Than Minimum is half of catalog or advertised minimum on the items. It is best to ask about these on an item by item, case by case basis to get more exacts. Some items allow less than half, some allow individual pieces, some do not allow going below minimums at all.

Over / Under Runs
Long Island Promotional reserves the right to overship or undership BULK or Quantity Break orders by 5% and bill accordingly. If exact quantity is needed please indicate that on your purchase order. This may apply to large apparel run orders as well. It is best to Contact Us on an item by item basis for exacts.
Physical Sew Outs & Sew Outs
Available Upon Request OR Proof for Embroidery will be an email picture of the sew out. We can send the sew outs for embroidery design to you for review and/or approval. Charges may apply. Call (516) 308-2892, Email [email protected] or Contact Us for details.
PMS Pantone Color Matching
No Matching on 24-48 Hour Rush Orders OR RUSH items. A $40 charge per color will be added to any order requiring an exact or closest to PMS OR Pantone match unless otherwise specified. Matching will be as close as possible, but may not be an exact match. Contact Us for details.
Proofs are required for all orders and reorders. No exceptions can be made due to our efforts to provide the most accurate service to you. ALL Production time quoted and stated begins after the emailed approval of the proof has been received. Proofs are to count submitted if sent before the close of the business via email or production days start counting on the next business day. Call (516) 308-2892 to confirm receipt to avoid any SPAM filter issues that may arise with new email contacts.

Production time for each product is listed as advertised OR quoted by job/item.Only applies to NON RUSH, FINAL ARTWORK APPROVED items. Production time begins when the proof is properly and officially Approved.
FREE setup on repeat orders on some items. ANY CHANGES THAT REQUIRE THESE FEES FROM THE MANUFACTURERS ARE COMMUNICATED AND CHARGED AT COST. Contact Us for details. Updating names and dates may require additional setup charges. Artwork older than 3 years must be resent to [email protected] with your order and is subject to a new setup.
Returned Check Policy
$50 charge for all returned checks. Terms may be changed to full prepayment for all future orders.
Un-imprinted products: Returns must be authorized by Sales and requests made within 5 days of receipt. Returns made via prepaid freight are subject to a $50 per box fee or a 30% restocking fee (whichever greater).
Random samples are available, please contact us with your contact information, address, shipper number and item you are interested in and we will advise if samples are available on that exact item or category.
Utilizing our network of vendors we will find the vendor most local to you to avoid any frivolous shipping charges. In some cases, We will deliver if needed. Contact Us for details on your next project or to quote a currently sourced item.
Spec Samples-Physical Sew Outs Mailed
Email us to apply for terms, if needed after first order. New customers will be asked to supply a valid credit card, a hold or deposit at a percentage of the total OR a full prepayment via credit card may be needed. Case by case, Item by Item basis. Contact Us
USPS Mail Shipments
Any customer requesting US Mail OR USPS as the method of shipping or a portion of a shipment will add a $15.00 handling charge plus the USPS charge per occurrence. This is to cover labor and transport.
We can provide email version virtual images of the items and art you are considering at no charge within 48 hours of receipt of the request to [email protected], ALL virtuals will be at no charge. We will always advise well in advance of any request you ever make that is considered chargeable.
